Salary: Starting at $80,000 (negotiable based on experience)

Overview: We are seeking an experienced Executive Assistant to support a prominent individual with multiple businesses and a family office based in Atlanta. This is a full-time position requiring presence in the office once a week, with flexibility for remote work and availability after hours as needed. The ideal candidate will be highly organized, detail-oriented, and possess exceptional communication skills.

Responsibilities:

  1. Provide comprehensive administrative support to the executive, managing calendars, scheduling meetings, and coordinating travel arrangements.
  2. Act as a primary point of contact, screening and prioritizing incoming communications and inquiries.
  3. Handle sensitive and confidential information with the utmost discretion.
  4. Pitch in during unforeseen circumstances, such as arranging alternative travel plans in the event of travel disruptions.
  5. Manage various administrative tasks including document preparation, filing, and correspondence.
  6. Utilize Excel and PDF software proficiently for data management and document processing.
  7. Assist with signing documents and managing paperwork as required.
  8. Maintain organized records and files, ensuring easy retrieval of information.
  9. Conduct credit checks for approval due to access to financial accounts and credit cards.
  10. Demonstrate exceptional memory and precision in all tasks and interactions.
  11. Liaise with other team members and external contacts on behalf of the executive.

Qualifications:

  1. Previous experience as an Executive Assistant or similar role, preferably supporting high-level executives.
  2. Excellent proficiency in Microsoft Office Suite, particularly Excel and PDF software.
  3. Strong organizational skills with the ability to multitask and prioritize effectively.
  4. Exceptional communication skills, both written and verbal.
  5. Proven ability to maintain confidentiality and handle sensitive information.
  6. Detail-oriented with a great memory and precise attention to detail.
  7. Flexibility to work outside regular office hours and availability for after-hours communication.
  8. Ability to work independently and as part of a team in a fast-paced environment.
  9. Bachelor's degree preferred but not required.
