A private, busy couple seeks an experienced and detail-oriented Estate Manager to oversee the operations of their luxurious home in Manalapan, FL, with travel to Southampton, NY, in the summer, if needed. Key Responsibilities

Property Management:

  • Conduct morning and evening rounds to inspect for damage or inefficiencies.
  • Develop and update a Planned Maintenance System for daily, seasonal, and annual tasks.
  • Oversee projects, source and manage vendors, and supervise contract work.
  • Prescreening of outsourced work contracts
  • Coordinate, oversee, and manage contract jobs working on projects
  • Ensure homes are always in pristine condition, inside and out.

Household Operations:

  • Supervise housekeepers and maintenance staff, ensuring smooth daily operations.
  • Schedule staff based on the family’s calendar and household needs.
  • Manage household inventory, supplies, and proper storage systems.
  • Coordinate events, catering, décor, and transitions between properties.

Personnel Management:

  • Conduct team meetings to maintain workflow and resolve issues.
  • Train, schedule, and hire staff as needed.
  • Submit weekly payroll and monitor adherence to task checklists.

Administrative Duties:

  • Provide regular reports on property maintenance, projects, and household updates.
  • Maintain inventory of valuable equipment and household wares.
  • Run errands and ensure auto/transport maintenance as necessary.

Qualifications

  • Proven experience in estate management or a similar role.
  • Strong leadership, organizational, and communication skills.
  • Exceptional attention to detail and ability to juggle multiple tasks.
  • Familiarity with vendor coordination, maintenance schedules, and event planning.
  • Passion for creating harmonious, well-functioning homes.
  • Must love animals and be comfortable traveling to the Hamptons during summer.
  • Ideal Hours would include a weekend day - either a Tuesday-Saturday, or Wednesday-Sunday schedule from 9:00 AM to 6:00 PM (flexible hours, could be 8:00 AM - 4:00 PM).

Additional Requirements

  • Willingness to occasionally work shifts to understand workflow.
  • Reside within 20–30 minutes of the Manalapan, FL, property.

Position Compensation

  • Salary: DOE, Please send salary requirements. Negotiable for the right candidate
