Administrative Assistant
Location: Boca Raton, FL (On-Site)
Schedule: Monday–Friday, 9:00 AM–5:00 PM | ASAP Start

A small family office is seeking a seasoned Administrative Assistant to support their Senior Executive Assistant. Overseeing a portfolio of 12+ residential and commercial properties, the role requires maturity, discretion, and meticulous attention to detail.

Key Responsibilities:

  • Provide administrative support to the Senior Executive Assistant​​
  • Organize and maintain physical files and binders (significant filing involved)
  • Track expenses and reconcile credit card statements
  • Schedule and coordinate vendors for property maintenance
  • Run routine errands (bank, post office, grocery deliveries, etc.)
  • Monitor and restock office supplies
  • Manage vehicle-related needs (insurance, DMV paperwork, servicing)
  • Assist with vendor documentation and Certificates of Insurance
  • Support occasional travel planning and calendar management

Qualifications:

  • Minimum 10 years of administrative experience, ideally in a private office or family setting
  • Bachelor’s degree required
  • Proficient in Outlook, Google Workspace, and Excel
  • Exceptionally organized and detail-oriented
  • Strong written and verbal communication skills
  • Independent, dependable, and responsive to direction
  • High level of discretion and professionalism (NDA required)
  • Valid driver’s license and clean driving record
  • Notary license preferred
  • Familiarity with vendor management and DMV protocols is a plus
  • Flexibility to respond outside of business hours via text/email, when needed

Compensation & Benefits: $65,000–$75,000 annually (commensurate with experience, ) health stipend, 2 weeks PTO, birthday and year-end bonuses, annual salary review
