Personal Assistant

Our client, a single established gentleman in the West Village of Manhattan is seeking a full-time Personal Assistant.  As a Personal Assistant to the Principal, you will play a crucial role in supporting him  by providing personal and administrative assistance. 

This position is Monday - Friday , 9am -5pm with flexibility to work longer hours when needed. 

Responsibilities

* All-around personal and general support.  
* Make private appointments, health management, run general errands.
* Manage housekeeper and foresee and communicate any issues.
* Wardrobe prep and tracking.
* Follow up on small projects and track for future notes.
* Keep up-to-date database of key contacts and important dates.
* Book flights, rental cars and create detailed itineraries.
* Handle last minute requests and changes.
* Maintain and manage receipts and general expenses.
* Report large/recurring purchases to COS.
* Scheduling and calendar management
* Manage/book at home events, reservations, etc
* Daily support and care for pet (dog) - supplies, medications, walks etc.
* Manage pet feeding schedule, supplies, appointments
* Manage pet appointments: Groomer, Vet and Vaccinations


The ideal candidate will possess the following:
  • Organization & Attention to Detail – Can manage multiple priorities and maintain detailed tracking systems.

    • Travel Coordination – Flights, accommodations, and complex itineraries.

  • Able to Provide In-Home Support – Appointment management, errand running, supervising housekeepers and home projects.

  • Problem Solving – Analytical and Resourceful thinker who resolves challenges efficiently

  • Proactive and Resourceful – Anticipates needs, solves problems independently, and stays ahead of tasks.

  • Discreet and Confidential – Understands how to work in private home settings with professionalism.

  • Communication – Clear, empathetic communicator who adapts to the audience and fosters understanding

  • Strong Work Ethic and Positive Attitude – Willingness to go above and beyond.

  • Pet Care Management Must LOVE Dogs!– Feeding, medication, vet/grooming scheduling, inventory management.

  • Lives in Close Proximity to NYC – Strongly preferred for responsiveness and flexibility. Can adjust schedule to meet changing demands.
     

The ideal candidate should be strong in:

  • High Judgment and Tastes – Can plan a date that or a vacation with recommendations that fit my tastes  

  • Tech-Savvy – Proficient with calendar apps, spreadsheets, and online booking tools. Google Suite 

  • Expense Tracking and Reporting – Including flagging large or recurring purchases.

  • Vendor and Relationship Management – Maintaining communications service coordination and payment processing. 

  • Scheduling and Calendar Management – Managing appointments and reminders.

  • Wardrobe Management – Seasonal clothing organization, dry cleaning tracking.

  • Event Coordination – At-home event planning and vendor coordination.

  • Domestic Travel Flexibility – Willingness to occasionally travel if needed.

Compensation

  • Salary: $100,000 - $120,000 DOE
