Our client in Midtown Manhattan is looking for a polished Executive Assistant to support two members of their Executive team. Key responsibilities include managing calendars, coordinating meetings and travel arrangements, facilitating communication, and assisting with strategic planning initiatives.
The Executive Assistant serves as a trusted liaison between the executive team and internal/external stakeholders, handling sensitive information with integrity and confidentiality. The ideal candidate will be someone with both the skills and attention-to-detail to effectively support senior executives, as well as the ambition to go beyond the basic requirements of the role.
Job Responsibilities:
- Manage daily scheduling, coordination, and meeting logistics efficiently, providing high-quality support with minimal oversight and prioritizing tasks to align with business needs
- Anticipate needs and identify problems proactively, looking around corners for solutions and using existing resources in problem-solving
- Support various projects and assist in organizing company offsites
- Prepare agendas, presentations, and materials for meetings, conferences, and events. Attend meetings as required, take minutes, and follow up on action items and decisions to ensure timely execution.
- Coordinate and oversee comprehensive domestic and international travel arrangements, handling expense reports efficiently
- Oversee the expense management, including preparing, submitting, and reconciling expense reports while ensuring accuracy, policy compliance, and timely reimbursement.
- Assist in the development and implementation of strategic initiatives and projects. Conduct research, gather data, and prepare reports to support decision-making processes. Anticipate needs and proactively identify opportunities to enhance efficiency and productivity.
Qualifications:
- You have 7-10 years of professional experience with a desire to take on increasingly complex projects across the organization
- You’re exceptionally detail oriented: You never let anything fall through the cracks, closing every loop, and spotting every error
- Ability to be proactive and take initiative
- Prior experience working for a C-Suite executive or senior leader within a company preferred
- Ability to work in a fast-paced environment, and ability to pivot at a moment’s notice
- Ability to multitask
- Excellent interpersonal and verbal and written communication skills
- Strong administrative, planning, and organizational skills
- Exercise good judgment in a variety of situations
- Respect for confidentiality and discretion to properly handle sensitive information
- Proven competency using G-Suit and MS Office applications
*Compensation Range: $160,000 - $180,000 + Bonus
